Privacy Policy

1. Who we are

Urbanbuy Commerce Corp ("Urbanbuy", "we", "us") is a wholesale supplier of beauty products to registered US businesses. This policy covers urbanbuycommerce.com, the pricelist and account forms on it, and the records we keep when a business buys from us.

2. What we collect

Only what you send us and what an order produces:

• Pricelist requests. Business name, contact person, work email, phone number, business type, monthly purchase volume, the product lines you check, ZIP code, website or storefront, and anything you write in the message box.
• Account applications. Contact name, email and phone; legal business name, business type and business address; EIN; resale certificate number; a website or storefront URL (required for online sellers); what you plan to stock; and the password you set for your ordering login. Trade references come later, by email, if you ask for Net 30 terms.
• Order and invoice records. Ship-to details, items and quantities, pick tickets with lot codes, invoices, payment records, tracking numbers, claims and return authorizations.
• Email. Messages you send to sales@ or accounts@ and their attachments — claim photos, shelf lists, copies of resale certificates.
• Request logs. When your browser loads a page, our hosting provider records the IP address, time, requested URL and browser type (see section 6).

3. What we don't do

• We don't sell personal information, and we don't share it for cross-context behavioral advertising.
• We don't run advertising trackers, pixels or retargeting tags on this site.
• We don't use analytics or advertising cookies. See section 4.
• We don't use your details for anything outside the purposes in section 5 without asking first.

4. Cookies and browser storage

Our own pages set no cookies. The one script on the site runs the menu, the forms, the FAQ and the pricelist window, and it writes nothing to your browser's local or session storage.

Three outside services can still reach your browser. Cloudflare, which serves the site, may set a short-lived security cookie if it has to challenge traffic that looks automated. Google Fonts loads on every page. The OpenStreetMap frame in our Contact section is openstreetmap.org's own page and follows its own cookie rules. All three are covered in section 6.

5. Why we use it

• To answer requests. Pricelist requests and emailed questions get a reply within one business day.
• To verify resale status. Before approving an account — within 2 business days of a complete application — we check your resale certificate with the issuing state and confirm the business address. That check is what lets us sell without charging sales tax, and we keep the certificate on file to support those exempt sales.
• To fulfill orders. Picking, packing, shipping, tracking emails, claims and returns.
• To collect payment. Prepaid orders, invoices and, for Net 30 accounts, checking the two trade references.
• To keep tax and accounting records. Invoices, payments and exemption certificates, for as long as section 7 says.

6. Who else handles it

Service providers process data for us, each only for its own part of the job:

• Web hosting and CDN — Cloudflare. The site is served through Cloudflare, which processes IP addresses and request logs to deliver pages and filter abusive traffic.
• Fonts — Google Fonts. Our typefaces load from Google's servers, so your browser sends its IP address and browser details to Google when a page opens. Google's use of that data is covered by the Google Privacy Policy.
• Map — OpenStreetMap. The map in the Contact section of our homepage is embedded from openstreetmap.org. Loading it sends your IP address to the OpenStreetMap Foundation's servers, under the OSMF Privacy Policy.
• Payment processors and our bank. They receive what they need to complete a card, ACH or wire payment — payer name, amount and the card or account details you provide.
• Carriers — UPS and LTL freight carriers. They receive the ship-to name, address and carton details, plus a contact phone or email where a delivery appointment needs one.
• Email, form-delivery and accounting providers. They store messages, form submissions and business records on our behalf.

We also disclose information when the law requires it — a subpoena, or a state audit of tax-exempt sales — or when it's needed to stop fraud against us or our customers.

7. How long we keep it

• Account and tax records — applications, resale certificates, invoices and payment records: 7 years.
• Pricelist requests that never became an account — deleted 24 months after our last exchange.
• Email is kept with the account or request it belongs to, on the same schedule.
• Request logs are held by Cloudflare under its own retention terms.

8. Security

Every page and form on this site is served over HTTPS. Account, credit and tax files are open only to the staff who handle orders, credit and bookkeeping. We never ask for your ordering-login password by email — if a message claiming to be from us does, don't answer it and forward it to accounts@urbanbuycommerce.com. No system is perfectly secure; if a breach affects your information, we'll notify you as the law of your state requires.

9. Your choices

• Access. Ask what we hold about you or your business.
• Correction. Update outdated details — a new address, a renewed resale certificate.
• Deletion. We delete what we aren't required to keep. Account and tax records stay for the 7 years in section 7.

Email requests to sales@urbanbuycommerce.com, ideally from the address we have on file, so we can confirm the request is yours. We reply within 30 days.

10. State privacy laws

California, Colorado, Connecticut, Virginia and a growing list of other states give their residents rights over personal information. Some of those laws exempt business-contact data or apply only above set revenue or volume thresholds. Where a state law applies to us, we honor requests from its residents through the email process in section 9, and we won't treat anyone differently for making one.

11. Children

This is a business-to-business site. It isn't directed to children under 13, and we don't knowingly collect information from them. If you believe a child has sent us information, email us and we'll delete it.

12. Changes to this policy

When we change this policy, we post the new version on this page and update the "Last updated" date at the top. The version shown here is the one in effect.
